Module 1: Strategic meetings at the collaboration partner’s organization

The aim of this module is that the partners use the meetings to develop joint activities such as research projects or summer schools. In addition, they can use the meetings to prepare joint applications for third party funding (such as International Research Training Groups). One focus of the activities discussed at the meetings should be on the mobility and networking of doctoral researchers.

Scope of funding:

The funding provided through the International Collaboration Package covers travel and subsistence expenses for up to two KIT scientists for a period of up to five days. Ideally, the applicant is one of the two persons travelling. The other traveler has to at least have the status of a postdoc.

Payment arrangements:

Please note that the entire accounting for the travel expenses has to be made via KHYS. Your institute may not cover any bills beforehand. Due to processing time, all bills have to be handed in by July 31, 2019. Additional information concerning payment arrangements will be supplied along with the notification of approval.

 

 

Module 2.1: Strategic meetings at KIT

The aim of this module is that the partners use the meetings to develop joint activities such as research projects or summer schools. In addition, they can use the meetings to prepare joint applications for third party funding (such as International Research Training Groups). One focus of the activities discussed at the meetings should be on the mobility and networking of doctoral researchers. Another important aspect of the meetings is that doctoral researchers at KIT can engage in a scientific exchange with the scientist of the partner organization.

Scope of funding:

The funding provided through the International Collaboration Package allows you to invite one professor or postdoc of the collaboration partner’s organization to come to KIT for up to five days. The funding includes a flat-rate travel allowance depending on the country of departure (see file IPID4all 5 – Download). In addition, the guest will receive a daily subsistence allowance of EUR 96.

Payment arrangements:

KHYS will directly assign and pay out the grant to the guest once he or she arrives in Karlsruhe. This means that the guest will have to pay for the journey in advance. The process for the payment will be defined for each guest individually. Please note that the amount of funding will only cover the flat-rate sums specified by DAAD. There will be no accounting according to the actual costs incurred. Should the actual length of stay be shorter than indicated in the application form and/or the notification of approval KHYS is entitled to reclaim the surplus. Please note that double funding is not permissible, i.e. the guest cannot receive any other funds for the same purpose. Additional information concerning payment arrangements will be supplied along with the notification of approval.

Module 2.2: Short-term stays of doctoral researchers of the partner’s organization at KIT

This module aims at doctoral researchers of the collaboration partner’s organization engaging in an intense scientific exchange with members of the KIT working group. Also doctoral researchers at KIT profit from the intercultural experience of networking with peers from abroad. A doctoral researcher of the host institute will serve as a “buddy” to the guest and assist him or her with regard to administrative issues or questions concerning working at KIT or living in Karlsruhe. The KIT buddy will thus have the opportunity to increase his or her intercultural competences.
Should the doctoral researcher coming as a guest to KIT have a scholarship to finance his or her doctorate, he or she has to ensure that the scholarship provider consents with the funding in the framework of the International Collaboration Package.

Scope of funding:

The funding provided through the International Collaboration Package covers travel and subsistence expenses for a stay of two to six weeks. The expenses will be paid out according to the flat-rate sums stipulated by DAAD. The flat-rate travel allowances depend on the country of departure (see file IPID4all 5 – Download). The subsistence allowances will be paid according to the duration of the stay on the basis of flat-rate daily or monthly allowances (see Annex C and file IPID4all 7 – Download).

Module 3: Short-term stays of KIT doctoral researchers at the partner’s organization

This module aims at KIT doctoral researchers engaging in an intense scientific exchange with members of the collaboration partner’s organization. The doctoral researchers have to be members of KHYS. Should the doctoral researcher have a scholarship to finance his or her doctorate, he or she has to ensure that the scholarship provider consents with the funding in the framework of the International Collaboration Package. 

 

Scope of funding:

The funding provided through the International Collaboration Package covers travel and subsistence expenses for a stay of two to six weeks. The expenses will be paid out according to the flat-rate sums stipulated by DAAD. There will be no accounting according to the actual costs incurred. The flat-rate travel allowances depend on the target country of the trip (see file IPID4all 5 – Download). The subsistence allowances will be paid according to the duration of the stay on the basis of flat-rate daily or monthly allowances (see file IPID4all6 – Download).

Payment arrangement:

KHYS will pay out the flat-rate allowances to the doctoral researchers before the trip takes place. Should the actual length of stay be shorter than indicated in the application form for the trip KHYS will be entitled to reclaim the surplus. Please note that double funding is not permissible, i.e. the doctoral researcher cannot receive any other funds for the same purpose. Additional information concerning payment arrangements will be supplied along with the notification of approval.

 

Please note for all four modules:

  • All of the planned activities have to take place between January 1 and June 30, 2019.
  • Due to calculations using estimates of costs, it may happen that the approved funds do not fully cover the expenses for the individual modules. In this case, the applicant must reduce spending or additionally use own funds.
  • Non-compliance with the stipulations of the International Collaboration Package may induce KHYS to withdraw the funding approval, refuse payments, or reclaim payments that it has already made.
